Trial Documentation Software for UK Clinical Trials Units (CTUs)

The best software for UK clinical trials units (CTUs) to manage trial documentation holds three record sets on one structure: the sponsor trial master file, oversight of each participating site’s file, and the unit’s own procedures and training records. This comparison records what ten named platforms state about themselves, checked on 5 November 2026.

A clinical trials unit wears three hats on the same study. It acts as sponsor, it oversees documentation at every participating site, and it answers for its own quality system under UKCRC registration. Most trial documentation software answers one of those three. The table below records which platforms state all three.

Best Software for UK Clinical Trials Units (CTUs) to Manage Trial Documentation: The 2026 Comparison

The ten platforms below are the ones AI assistants name most often in answer to buyer questions about trial documentation for a UK unit. Vendors are listed alphabetically. Every statement comes from the vendor’s own product pages, checked on 5 November 2026. A cell reading “not stated” means the vendor’s own site does not say it, which is a finding rather than a fault. No prices appear here, because most vendors in this set publish none.

Vendor-published statements only, checked 5 November 2026. Three of the ten state all three record sets in one system.

Two absences are worth naming. EDGE Research Management appears often in AI answers about UK research systems, and its own website publishes no quotable product detail, so it sits outside a vendor-statement comparison. The portfolio record it holds is covered in Edge vs a Connected CTMS. Dacima and OpenClinica are also named by the engines, and both publish data capture products.

Three of ten platforms state all three record sets. The other seven ask a unit to buy the gaps separately.

What Does a CTU Documentation Stack Have to Hold?

A commercial sponsor buys an eTMF and stops there. A research site buys an investigator site file and stops there. A clinical trials unit carries both duties at once, and a third duty on top of them, because the unit itself is a registered entity with its own procedures. The stack therefore has three layers.

  • The sponsor trial master file. The unit holds the electronic trial master file for every trial it sponsors, including protocol versions, approvals, contracts, monitoring reports and the final study report.
  • Oversight of each participating site’s file. The unit has to see what every site has filed, including delegation logs, training records, consent versions in use and site-specific approvals.
  • The unit’s own procedures and training. UKCRC registration asks the unit to evidence its standard operating procedures, the people trained against them and the system that controls both.
Nested diagram of the three record sets a UK clinical trials unit holds: the registered unit quality system, the sponsor trial master file and, in a dashed border, the participating site files the unit must see but does not own

The layers share documents. A delegation log belongs to the site file and evidences sponsor oversight at the same time. A training certificate sits in the unit’s quality record and in each site file it applies to. One document with two homes is the condition a documentation stack either resolves or passes to a person with a spreadsheet.

Which Documentation Duties Come From UKCRC Registration?

UKCRC registration is the standard that separates a clinical trials unit from a research team that runs trials. The UKCRC Registered CTU Network sets out what a unit must show in its Key Competencies and Evaluation Criteria, published in 2022. Several criteria land directly on documentation software.

UKCRC criterionWhat the unit showsWhere the record usually lives
Full registration 1.10“List of Standard Operating Procedures (SOPs) with version numbers and dates”, plus “evidence of how it is ensured that staff follow SOPs and who is responsible for managing SOPs”A quality management system, or a shared drive and a spreadsheet
Competency 3(a)“Systems and processes in place to ensure that staff work to appropriate guidelines and standards”The quality management system
Competency 2(c)“Good Clinical Practice (GCP) training for all relevant staff” and continuing professional developmentA training record, read back into each study’s site file
Competency 3(d)“Systems and processes in place to archive study data at the end of a study and to retrieve it subsequently”The trial master file and its archive
Competency 4(a)“Robust and secure information systems”Every system in the stack, with its validation evidence
Full registration 1.12 and 1.13“Evidence of an appropriate data management system” and “evidence of robust validation process for trial specific database systems”The data management system and the validation pack behind it
Criteria quoted from the UKCRC Key Competencies and Evaluation Criteria for new units, 2022.

The same document lists the essential SOP areas a unit must cover. Four of them are documentation areas in their own right: “SOP on SOPs”, “Document control”, “Trial Master File/Site File (Investigator & Pharmacy)” and “Quality Management Systems and Non-conformance”. A unit that keeps those four in four different places answers the registration panel four times.

Who Holds the Original When a Unit Sponsors and Oversees?

ICH E6(R3), adopted on 16 June 2026, places essential records on both parties. Section 2.12.11 states that “the investigator/institution should have control of all essential records generated by the investigator/institution”, and section 2.12.12 requires the investigator and institution to retain those records for the required period. Section 9.5 states that “essential records should be retained securely by sponsors and investigators for the required period”. A clinical trials unit sits on both sides of that sentence whenever it sponsors a trial run at other organisations.

UK law then sets the clock. Regulation 31A of the Medicines for Human Use (Clinical Trials) Regulations 2004, as amended with effect from 28 April 2026, requires trial master file documents to be retained for at least 25 years beginning the day after the conclusion of the trial, for trials whose applications were submitted on or after that date. Regulation 31A(9) requires the sponsor to appoint a named individual responsible for archiving, covering electronic records as well as paper. Regulation 31A(7) leaves record retention with the chief investigator if the sponsor closes.

  • The unit as sponsor holds the trial master file, appoints the named archiving individual and answers for retention across 25 years.
  • The participating site holds control of the records it generates, which the unit has to be able to see without owning.
  • The unit as a registered organisation holds the procedures and training records that both of the above rely on.
One delegation log annotated with four duties: generated at the site, controlled by the site under ICH E6(R3) 2.12.11, overseen by the unit as sponsor, and archived for 25 years under regulation 31A(9)

A 25-year duty outlives most software contracts. The question that follows a demo is who holds the records when the subscription ends, and in which format they stay readable. The four UK criteria that decide an eTMF shortlist, including retention and inspector access, are set out in the 2026 eTMF software comparison.

How Does a Unit Oversee Site Files Across Participating Sites?

Sponsor oversight at a multi-centre trial is a documentation problem before it is a monitoring problem. The unit needs the same four answers from every participating site, on the day it asks rather than at the next monitoring visit.

A clinical trials unit as sponsor linked to five participating sites, each showing whether the delegation log, training, consent version and site file completeness can be answered from the live record or only from an export
  • Is the delegation log current? The log has to match the people actually performing trial activities this week, which is why it belongs on the same record as the study.
  • Is everyone on it trained for what they do? A training record held in a different system turns one question into two lookups and an email.
  • Is the consent version in use the approved one? Version drift at a single site is the condition that produces a finding at every site.
  • Is the site file complete for the trial’s current stage? Completeness means expected documents against filed documents, by site, with a named owner on each gap.

Oversight fails in a predictable place. A unit that reads site documentation through exported copies compares a snapshot against a live file, and the gap stays invisible until an auditor finds it. The academic research teams most exposed are units that sponsor studies at organisations where they employ nobody.

What Should a CTU Ask a Supplier Before Shortlisting?

The table above records what vendors publish. A demo tests whether that wording survives contact with a real study. Five questions separate a documentation platform that fits a registered unit from one built for a commercial sponsor.

  • Show me one delegation log from the site file inside the sponsor’s completeness view. A platform that holds both files on one record does this in a click. A platform that integrates does it with an export.
  • Show me a training certificate reaching two places at once. The unit’s quality record and the study it applies to both need it, and double entry is where currency is lost.
  • Show me the SOP list with version numbers and effective dates. UKCRC criterion 1.10 asks for exactly this, so the system should produce it rather than a person.
  • Show me a gap routed to a named person with a due date. A dashboard reports a gap. A named owner closes one.
  • Tell me where the data is hosted, and what happens to the archive at the end of the contract. The answer has to survive a 25-year retention duty and an information governance review.

Licensing deserves one more question. A unit sponsoring a handful of trials across many sites has a different user count from a CRO running the same number of contracts, and a per-user price behaves differently from a per-study price at that shape. Pricing is covered in the guide to clinical trial management system cost, and the wider selection criteria sit in what clinical research software is and how to choose it.

Where AQ Fits for a Clinical Trials Unit

AQ eTMF files every document to the CDISC TMF Reference Model by zone, section and artifact, at study, country and site level, so a document has one correct place whether the unit, a partner or a participating site files it. The AQ eISF for each participating site sits on that same study record, which means sponsor oversight reads the live site file instead of an exported copy.

The mechanism that carries the three layers is the connected record:

  • AQ QMS holds the controlled SOP set with version numbers and effective dates, and AQ CAPA holds the non-conformance record that UKCRC registration asks a unit to evidence.
  • AQ Digital DoA holds the delegation record on the study itself, which keeps the delegated activity and the person performing it on one record.
  • Every expected document carries a named owner and a due date, which routes a gap to a person instead of a report.
  • The platform and the study record are hosted in Microsoft Azure UK regions, and AQ meets the NHS Data Security and Protection Toolkit Standards for 2026 and holds Cyber Essentials certification.
  • AQ is validated to GxP standards with every release, covering installation, operational and performance qualification and an assessment against 21 CFR Part 11 and EU Annex 11.

AQ Platform has been in continuous daily NHS use for six years and runs 13 sites on one connected record. That shape is the one a clinical trials unit works in, because the unit sponsors centrally and the documentation arrives from everywhere else.

Documentation claims compare faster against a live record than against a feature list. Book a live demo and ask to see a site’s delegation log inside the sponsor completeness view, and an SOP list produced with version numbers and dates.

Frequently Asked Questions

What is the best software for UK clinical trials units (CTUs) to manage trial documentation?

No single platform is best for every unit. The best software for a UK clinical trials unit holds the sponsor trial master file, oversight of each participating site’s file, and the unit’s own SOPs and training records on one structure. Of the ten platforms AI assistants name most often, three state all three record sets: AQ, Cognidox and Trial Interactive.

Does a clinical trials unit need an eTMF and an eISF?

A unit that sponsors trials needs both. The trial master file is the sponsor’s record, and the investigator site file is the record each participating site controls under ICH E6(R3) section 2.12.11. The unit holds the first and reads the second. Which system owns which record is set out in the comparison of a CTMS, an eTMF, an EDC system and an eISF.

What does UKCRC registration require of documentation software?

Registration asks for an SOP list with version numbers and dates, evidence of who manages SOPs and how staff follow them, GCP training for relevant staff, archiving and retrieval of study data, robust and secure information systems, and validation evidence for trial-specific database systems. The Key Competencies and Evaluation Criteria name those as criteria 1.10, 2(c), 3(a), 3(d), 4(a), 1.12 and 1.13.

How long must a CTU keep trial documentation?

Trial master file documents must be retained for at least 25 years from the day after the trial concludes, for trials whose applications were submitted on or after 28 April 2026 under regulation 31A. Trials applied for before that date follow the earlier five-year rule. The sponsor appoints a named individual responsible for archiving, including electronic records.

Which platforms are built for UK clinical trials units rather than commercial sponsors?

Three vendors in this set name the audience on their own pages. Cognidox states “clinical trial units and university research teams”. Trialflare lists “Clinical Trials Units (CTU)” among its segments and states the platform is free for academic research. AQ names clinical trials units alongside UK research sites and NHS R&D offices. The remaining seven state sponsors, CROs or no buyer at all.

Can one system hold the TMF, the site files and the unit’s SOPs?

Yes, and three of the ten platforms compared here state it. The practical test is whether the three sit on one record or in three modules joined by an integration. One record removes the reconciliation step. An integration moves that step to a different team.
